Sending offer letters to candidates
How to generate, customise, and send an offer letter to a candidate directly from the Dapplon recruitment pipeline.
Generating an offer letter
Once you have decided to hire a candidate, Dapplon can generate a professionally formatted offer letter pre-filled with the candidate's name, role, salary, and joining date.
- Go to the candidate's profile in Recruitment > Candidates
- Move the candidate to the Offer stage if they are not already there
- Click Generate Offer Letter
- Select the offer letter template from the dropdown — your HR team may have multiple templates for different roles
- Fill in the offer-specific fields:
- Designation
- Department
- Annual CTC
- Joining Date
- Reporting Manager
- Any additional clauses or perks
- Click Preview to review the letter
Customising the letter
- Click Edit on the preview
- The editor shows the letter with all variables filled in
- Edit any specific paragraph — common customisations include role-specific clauses, relocation allowances, or sign-on bonuses
- Click Save
Note
Editing the generated letter does NOT change the template. The changes apply only to this specific offer.
Sending the offer letter
- Click Send to Candidate
- Dapplon emails the offer letter PDF to the candidate's email address
- The letter includes a digital acceptance button — the candidate can accept or request changes directly from the email
- You are notified by email when the candidate accepts or declines
Converting an accepted candidate to employee
When the candidate accepts:
- Go to their profile
- Click Convert to Employee
- Dapplon pre-fills the Add Employee form with all the data from the recruitment profile
- Review, add their bank details and PAN, and click Save
- The candidate record links to the new employee record permanently
