Employee profile fields explained
Overview
An employee profile in Dapplon is the single source of truth for all data about that person. It is divided into tabs for easy navigation. Understanding each field helps you fill it in correctly and know where errors will surface if the data is wrong.
Personal Information tab
Full Name — used on payslips, offer letters, and all official documents. Must match the government ID.
Employee ID — auto-generated by Dapplon (e.g., EMP001). You can override this with your own numbering scheme in Settings.
Date of Birth — used for birthday notifications on the dashboard and for age-related statutory calculations.
Gender — used for ESI category classification and diversity reports.
Personal Email — used for portal invitations and password resets. Separate from the work email.
Work Email — appears on the employee's profile and can be used for intra-company communication.
Employment Details tab
Department — determines which leave policy and approval hierarchy applies. Also controls which reports the employee appears in.
Designation — the job title. Appears on payslips and the org chart.
Employment Type — Full-Time, Part-Time, Contract, or Intern. Affects PF and ESI eligibility.
Date of Joining — the official start date. Used to calculate leave entitlement for the first year and to pro-rate the first month's salary.
Probation Period — number of months of probation. Dapplon can send an alert when probation ends.
Reporting Manager — determines who receives that employee's leave requests and expense claims for approval.
Payroll tab
Salary Structure — the template used to calculate this employee's payslip each month.
Annual CTC — the total annual cost including employer contributions. Dapplon uses this to back-calculate each salary component.
Bank Account — used for salary disbursement. Must be saved before running payroll.
PAN — required for TDS computation. Payroll cannot be processed without a PAN on file.
Documents tab
Upload the following documents on joining:
- Offer Letter (signed copy)
- ID Proof (Aadhaar, Passport, or Driving Licence)
- Address Proof
- Educational certificates
- Previous employment documents (if any)
