Adding a new employee — step by step
A complete guide to creating a new employee record in Dapplon, from personal details to salary structure and portal access.
When to add an employee in Dapplon
Add a new employee record in Dapplon as soon as their offer is accepted and their joining date is confirmed. You do not have to wait until their first day. Adding them in advance means their Employee Portal account, payslip setup, and leave balance are ready on day one.
Step 1 — Open the Add Employee form
- Log in to admin.dapplon.com
- Click Employees in the left sidebar
- Click the + Add Employee button in the top right corner
Step 2 — Personal information
- Enter the employee's Full Name exactly as it appears on their government ID
- Enter their Personal Email — this is where the portal invitation is sent
- Enter their Date of Birth
- Select their Gender
- Enter their Phone Number with country code
- Optionally enter their Emergency Contact name and number
Step 3 — Employment details
- Set the Department from the dropdown
- Set their Designation (job title)
- Set their Employment Type: Full-Time, Part-Time, or Intern
- Enter the Date of Joining — this determines their first month's pro-rated salary
- Set their Reporting Manager from the dropdown
- Set their Work Location if you have multiple offices
Step 4 — Salary and payroll
- Click the Payroll tab in the Add Employee form
- Select a Salary Structure from the dropdown
- Enter the Annual CTC — Dapplon calculates all components automatically
- Set the Bank Account Number and IFSC Code for salary transfer
- Enter the PAN Number (required for TDS computation)
- Enter the PF Account Number if the employee is already enrolled in PF
Step 5 — Send the portal invitation
- Click the Portal Access tab
- Toggle Enable Employee Portal Access to ON
- Click Save and Send Invitation
- The employee receives an email with a link to set their password
Note
The invitation link is valid for 7 days. If the employee does not activate their account in time, go to their profile and click Resend Invitation.
