Setting up leave types and policies
How to configure leave types (annual, sick, casual), build leave policies, and assign them to your workforce.
Leave types vs. leave policies
Dapplon separates two concepts that are often confused:
A leave type is a category of absence — for example, Annual Leave, Sick Leave, Casual Leave, or Maternity Leave. A leave type defines whether absences in that category are paid or unpaid, and whether unused days can be carried forward to the next year.
A leave policy is a ruleset that bundles multiple leave types together with specific quotas and assigns them to a group of employees. For example, you might have a "Standard Policy" with 18 days Annual Leave and a "Senior Staff Policy" with 24 days.
Creating a leave type
- Go to Leave > Leave Types
- Click Add Leave Type
- Enter the Name (e.g., Annual Leave)
- Set the Type: Paid, Unpaid, or Partially Paid
- Set the Accrual Method: given all at start of year, accrued monthly, or accrued daily
- Toggle Carry Forward: if ON, set the maximum number of days that can carry forward
- Toggle Allow Half-Day: if ON, employees can apply for half-day leave of this type
- Click Save
Creating a leave policy
- Go to Leave > Policies
- Click Add Policy
- Name the policy (e.g., "Standard Employee Policy")
- Add leave types to the policy by clicking Add Leave Type
- For each leave type, set the annual quota (e.g., 18 days Annual Leave, 12 days Sick Leave)
- Click Save Policy
Assigning a policy to employees
- Go to Leave > Policy Assignment
- Click Assign Policy
- Filter by department, designation, or select individual employees
- Choose the policy from the dropdown
- Set the effective date — usually the first day of the financial year
- Click Assign
Note
If you change an employee's policy mid-year, Dapplon recalculates their leave balance based on days elapsed. The old policy's unused balance is transferred.
